Step 1: Request Form Submission
When a Contract Holder calls to request permission for any alterations or improvements to the property, advise them to complete and return an Alterations and Improvements Form with detailed information about the proposed work.
Step 2: Review the Form
Once the form is received:
- Ensure that all required information is provided and all sections are completed.
- If information is missing, follow up with the contract holder for further details.
Step 3: Create TMI and Documentation
- Create an Alterations and Improvement TMI.
- Scan the application form into Documotive and link it to the TMI.
- In the description box, include a brief outline of the requested work.
Step 4: Assign and SLA
- Create an activity explaining the request has been received.
- Assign the activity to the Asset team with a 10-day Service Level Agreement (SLA).
Step 5: Inform the Contract Holder
- Advise the contract holder that a member of the Asset team will update them within 10 working days either by letter or phone call.
