We raise repairs using the program IBS. We need to get as much accurate information as possible from the contract holder in order to log the correct repair and to ensure the correct trade attends.
You will need to include a contact number for the contract holder in the job description.
To log a repair you can follow this step by step guide.
Open IBS and select the repairs and maintenance option and then double click ‘Jobs’ & ‘Logging’.
The location search box will appear for you to type in the street and property number and then press the green tick and double click the address needed on the next screen
IBS will then show you the repair history on the property. To log a repair click log job.
However if the job is on the block rather than an individual property you need to select the block option before raising any work.
You then need to select SOR and fill in the priority, contractor, location of the repair and then choose the SOR code in the element box.
Once this has been completed you need to insert an accurate description of the repair needed. Click desc on the screen
and fill in the description in the large text box. You will also need to include a brief description in the short text box.
Remember to include any warnings about the repair in the long description box such as 2 to attend.
Next you will need to press the other button and complete the officer section by clicking on the Box and choosing Neil Jones.
You then need to insert a cost code by pressing the default button.
Once this has been completed you can schedule the job by clicking schedule. This will take you to the diary system where you can choose an appointment with the contract holder.
If you are raising an emergency job do not press schedule instead press ok, the scheduling team will pick this up. An emergency is for all day access, no times given, someone needs to be at the property.
