How to make your communications accessible for customers with a sight loss

 

We have customers who have a sight loss so communications to them will need to be accessible. 

 

The format of your communications will depend on what you are sending. 

 

Sending a letter/email where large print is needed? 

You change the text to 16-point size (or higher – check YODA to check for any specified font) and then you are ready to send. 

The RNIB provides further guidelines to consider: 

  • Spaces between lines should be at least 1.5 to double line spacing. 
  • Aligning text to the left margin. Left aligning text makes it easier to find the starting point of the next line. 

 

Producing anything bigger e.g. annual report, newsletter in large print? 

This isn’t as straight forward as making the document larger (i.e. by photocopying from A4 to A3). This is about changing the format of an existing document and using a simple layout (often removing pictures, graphics, and columns). In these circumstances, you need to use a company that specialises in producing these formats.

  1. You will need to supply the following details to obtain a quote: 
  1. What format the information is needed in i.e. large print. If the person is also a Welsh speaker, then Pia will arrange this – just let them know when you contact them. 
  2. When you need the information ready. Pia can send direct to the person needing the format if this helps – discuss with them at the time of obtaining a quote. 
  3. Once you’ve accepted the quote you will need to: 
  • Send the information in a word document where possible (as well as the original format e.g. pdf) as this helps to cut down on costs, because Pia do not have to remove any pictures, graphics etc. from the pdf format. 
  • Quote purchase order number PIA001 so the cost(s) of the translation can be met by your service area. 

Remember: Accessible formats should be posted/distributed at the same time as standard copies, so make sure you give yourself enough time (and others who will be helping you). It is good practice to enclose a copy of the information in regular print, as this will help if there is a sighted person in the household. Pia can arrange this and post the information direct to the person – make sure you ask them. 

Is braille or audio needed?

  • What format the information is needed in i.e braille. If the person who needs braille is also a Welsh speaker, then Pia will arrange this – just let them know when you contact them. 
  • When you need the information ready. Pia can send direct to the person needing the format if this helps – discuss with them at the time of obtaining a quote. 

 

  1. Once you’ve accepted the quote you will need to:
